CALL // City as Living Laboratory works with artists, scientists, and residents of urban communities to create sustainable solutions for urgent environmental issues including climate, equity and health. We help people connect environmental challenges to personal experience and take action. Founded by artist Mary Miss in 2009, CALL produces large scale, ambitious projects which grow out of grassroots environmental concerns in the cities and neighborhoods they are situated in. CALL’s current major projects are based in New York City and Milwaukee, in addition to a growing national initiative.
The Development & Operations Associate will advance the mission of CALL with their top-level organizational skills and commitment to creating meaningful experiences for donors and supporters. If you believe that artist-led projects can make a difference in the world, get excited when you’ve made something work more efficiently, and are motivated to fuel growth, you’re the kind of person we’re looking for to join our team. While this is an administrative role, there is room for creativity. The Coordinator will join a small staff of 3 full time and 4 part-time employees, who all genuinely enjoy working, laughing, and imagining together. Here is an idea of what you’ll be working on:
General Studio Operations (30%)
- Managing studio supplies and office equipment
- Processing and organizing mail; fielding general email enquiries
- Keeping data systems organized and up to date
- Managing facility needs, such as scheduling cleaners, prepping for recycling days
- Opening and closing studio on working days
- Organizing expenses, payments, and invoices for finance officer
Development Operations (50%)
- Maintaining CALL’s CRM database and mailing lists
- Conducting donor prospect research and maintaining prospect files
- Owning donor appreciation efforts and acknowledgements
- Assisting with live and virtual events, such as event registrations, pre/post event correspondence, and back-end tasks.
- Assisting with the production of annual reports for funders and partners
- Overseeing Annual giving campaign logistics
- Creating PowerPoint presentations for lectures and events
- Collaborating on email newsletters, social media posts, and website content updates
- Assisting with grant research, tracking, and applications
Executive Assistant Responsibilities (20%)
- Managing subscriptions and purchases
- Facilitating artwork loans/image requests
- Booking travel and organizing speaking engagements, artist fees
- Monitoring/prioritizing general emails
Successful candidates will demonstrate:
- A minimum of 1 year of administrative experience for candidates with a related undergraduate degree (candidates without a completed degree will be considered, with equivalent work experience)
- Basic understanding of working with a CRM or other type of database
- High level organizational skills and a commitment to achieving goals
- Good time management and problem-solving capacity
- Ability to self-motivate and work independently
- Flexibility within a changing work environment
- Interest in issues of sustainability and how art can help build a more sustainable future
- Knowledge of Microsoft Excel and Google Sheets
These skills are not required but if you have them, mention it:
- Prior experience of Website Content management
- Working knowledge of Adobe InDesign & Photoshop
- Knowledge of contemporary art, particularly land and environmental art
- Bilingual in English & Spanish or English & Cantonese
- Prior experience in Asana or similar project management tool

Salary & Benefits:
The salary for this full-time role is budgeted at $40,000 per year. Working will primarily take place in our Manhattan office, though some working from home will be possible. The role will involve some evening and weekend hours (time off in lieu is given for overtime hours). Benefits include health insurance, commuter card, two weeks paid vacation, paid time off for all federal holidays, flexible work schedule, and professional development opportunities.
